1. Product specification

Confirm product format, source, processing history, colour, lengths, measurement method, shorter-hair distribution and quantity. Record the intended use and discuss suitability. Do not fill gaps in a supplier description with assumptions.

2. Evidence and evaluation

Request product-specific photos or video showing the roots, full length and ends. If arranging a sample, agree exactly what it represents and what you intend to assess. Record the findings and clarify any differences before proceeding.

3. Commercial terms

Agree the quoted currency, total quantity, price basis, payment method and schedule, packaging and delivery arrangements. Confirm any sample charges separately. A product enquiry or prepared WhatsApp message is not an accepted order.

4. Delivery and follow-up

Confirm the delivery country, contact details and timing with the supplier. Make responsibilities and applicable order terms clear before payment. Retain the quotation, specification and written confirmations together for later reference.

5. Repeat purchasing

Use the agreed specification when discussing a repeat order. Confirm its availability and terms again rather than assuming the previous offer remains unchanged. For manufacturers, also record any changes to the intended production process.
